💬 Job Overview

As an Event Specialist at Paylocity, you’ll focus on registration management, event logistics, and hands-on support for in-person, hybrid, and virtual corporate events. This role requires strong attention to detail, excellent communication skills, and advanced proficiency with Cvent.From building registration sites to supporting onsite execution, you’ll work collaboratively with venues, vendors, and internal teams to deliver exceptional event experiences that align with Paylocity’s mission: empowering the modern workforce.



📋 Key Responsibilities
Registration & Attendee Management
  • Build, test, and manage event registration sites in Cvent.

  • Maintain accurate attendee data, track RSVPs, and document special requirements.

  • Perform comparative reporting and data validation to ensure accuracy.

  • Respond to attendee questions via email or phone with exceptional customer service.

  • Create and send invitations, confirmations, reminders, and post-event surveys.

Administrative Event Support
  • Assist with event timelines, project plans, documentation, and meeting notes.

  • Support venue sourcing, RFP creation, and BEO coordination (F&B, AV, room layouts).

  • Build proposal decks in PowerPoint.

  • Manage packing lists, collateral, shipping logistics, and registration materials.

  • Prepare signage, name badges, travel letters, and other event assets.

Event & Technology Support
  • Set up and test Cvent event builds, registration flows, and mobile app modules.

  • Support integrations between Cvent and other event tech tools.

  • Pull and analyze reports on attendee counts, custom questions, session tracking, and post-event metrics.

Event Execution & Onsite Logistics
  • Support onsite registration, attendee check-in, signage placement, and event materials.

  • Coordinate with vendors, venue staff, and internal stakeholders.

  • Troubleshoot event-day challenges with a problem-solving mindset.

Virtual Event Support
  • Assist on platforms such as Zoom, Webex, ON24, or similar.

  • Build session schedules, moderate virtual components, and guide attendees through platform use.

Post-Event Tasks
  • Reconcile registrations, hotel rooming lists, and vendor invoices.

  • Compile and analyze survey results and event feedback.

  • Maintain organized documentation, records, and financial tracking.

🧩 Requirements

Required:
  • Associate’s degree or equivalent experience in events, hospitality, or similar.

  • 2–3 years of event operations experience with a strong focus on logistics and registration.

  • Proficiency in Cvent or similar event management platforms.

  • Exceptional organization, prioritization, and detail orientation.

  • Excellent customer service and communication skills.

  • Ability to manage tight deadlines and multiple events simultaneously.

  • Willingness to travel up to 30%, including evenings/weekends when needed.

  • Strong proficiency with PowerPoint, Excel, and CRM/event marketing tools.

Preferred:
  • Experience with Zoom, Webex, ON24, or hybrid/virtual event platforms.

  • Knowledge of event analytics or attendance metrics.

  • Strong writing skills for attendee communications and surveys.

Physical Requirements:
  • Ability to travel frequently by car or air.

  • Ability to lift up to 15 lbs for event materials.

  • Ability to stand, walk, or engage with attendees for extended periods.

  • Ability to work on laptops/mobile devices and perform repetitive motion tasks.
